Camp Fees:
SEEP Programs: Each week of SEEP costs $250, as it has for a number of years now, and includes a t-shirt.
SEEDLINGS Programs: Each week of Seedlings costs $150, and includes a t-shirt.

Registration Dates:
For full time Mayne Island residents*: 3 days long, May 6 at 10AM – May 8 and 5PM
For siblings of GICEL Youth staff**: 3 days long, May 9-11
General Registration for part time residents and visitors, plus anyone who did not register in the first two windows***: Ongoing, begins May 13 at 10AM
Waitlist for a 4th week of camp: Ongoing, beginning May 16 at 12PM
* For the purpose of GICEL registration, full time residency is defined by where the child receives their education: At the Mayne Island School, homeschooling registered with a Mayne Island address and living the vast majority of their year on Mayne, or online learning registered to a Mayne Island address and living the vast majority of their year on Mayne
** For families with children of different ages where one child is a youth staff member for the GICEL SEEP program and they wish to register their child aged 6-12 in the same week as their sibling aged 13-18 is working.
***If a full time resident or sibling of a staff member does not register during the early window for that group, they must wait and register during the general registration window.
Maximum Week Policy (New for 2025):
New for 2025, each participant is able to register for a maximum of 3 weeks of programming. This allows families to rely on SEEP for childcare support for the same number of weeks they have been able to in the past and allows more families to access our programming as we go back to a 4 week program this year.
Age Policy:
For our SEEP programs, participants must be between the ages of 6 and 12 years old on the first day of the program. For Seedlings, participants must be between the ages of 2.5 and 5 on the first day of the program.
Sibling Priority Policy:
As has been the practice for the entirety of GICEL programming (24 years), siblings registrations will be considered submitted at the same time as the first submitted form. This allows for more equity for different family sizes and resource levels (eliminates the need for multiple adults able to fill out forms on multiple devices at the same time). We hope our online registration software will accommodate this on its own, but if not, we will sort out how to manage it manually as we have done in the past. This policy does not extend to cousin groupings.
Financial Subsidy Policy (Adapted for 2025 to include timelines):
We are very fortunate to have donations throughout the year, sometimes from GICEL SEEP families, to support children in attending our programs without financial hardship. If you wish to request assistance in paying camp fees, please contact Karen at mayne@gicel.ca at least 72 hours before registration opens so we have time to set you up. For 2025, the non-refundable registration deposit is generally not eligible for subsidy, with exceptions granted for specific circumstances. If you wish to make a donation to this fund (thank you!), please contact our director, Michael Dunn, at mjechael.dunn@gmail.com.
Non-refundable deposit Policy (adapted for 2025):
A non-refundable deposit of $50 is required to support the administrative costs that occur regardless if a registered participant attends the camp or not. This process began in 2024. New for 2025, this deposit must be paid at the time of registration.
Waitlist Management Policy:
As has been our practice for the past few years (once we began having a waitlist), we manage one waitlist for all four weeks of SEEP that details which weeks you are hoping to register for. This means that if you receive a spot in one week, your name moves down to the bottom of the list for subsequent weeks.
Cancellation Policy (Adapted for 2025):
From Registration date until 2 weeks before the start of program: All fees minus $50 non-refundable deposit for each registrant to cover administrative costs are refunded.
From 2 weeks until the Friday before the start of the program at 3pm: If plans change, or a participant is ill prior to the beginning of camp, we will do our best to fill the spot from the waitlist. If we are able to fill the spot, all fees minus $50 to cover administration costs for each registrant are refunded. If we are unable to fill the spot, registration fees are not refunded.
From Friday at 3pm the week before a program begins, our admin staff will not regularly respond to emails. Cancellations that occur after Friday at 3pm will not be refunded. If you need to cancel, please do so as soon as possible to give our staff time to fill the spot and absolutely no later than Friday at 3pm the week before a program begins.
After the program begins: If a registrant starts camp, but is unable to complete camp due to health or other reasons, the days not attended are refunded.
